Conditional guest portal tasks based on guest count

Problem statement

Hosts need to collect specific information from guests based on reservation characteristics (such as number of guests), but currently have no way to trigger conditional tasks or questions in the guest portal. For example, when a reservation has exactly two guests, hosts need to know the bed configuration preference (one bed vs. two beds) to prepare the space appropriately.

Current workaround

Hosts must manually monitor incoming reservations, identify those that meet specific criteria (e.g., 2-guest bookings), and send individual messages to guests asking for their preferences. This requires constant vigilance and manual outreach.

Impact

  • Time-consuming: Requires ongoing manual monitoring and individual messaging for each qualifying reservation
  • Communication gaps: Guests may not respond in time, or messages may be missed, leading to incomplete information at check-in
  • Operational friction: Creates unnecessary back-and-forth that could be automated through the guest portal

Proposed solution

Add the ability to create conditional tasks in the guest portal that trigger based on reservation attributes such as guest count. For example, a task asking "How many beds would you like prepared?" could automatically appear in the guest portal only for reservations with exactly 2 guests.
