Role-Based Notification Windows & Weekly Cleaner Digest Problem

Cleaners currently receive booking and change notifications far in advance, which creates notification fatigue and reduces the likelihood that important, near-term updates are noticed. While long-range booking visibility is valuable for property managers and revenue managers, it is not actionable for cleaners whose work is operational and short-term.

Current Workaround

Operators either leave cleaners over-notified or disable notifications entirely and manage weekly schedules manually, which adds operational overhead and increases the risk of missed updates.

Proposed Solution

Introduce role-based notification controls, specifically for cleaners, including:

Notification Time Horizon

Allow operators to set a notification window (e.g. notify cleaners only for tasks occurring within the next 7 or 14 days).

Weekly Cleaner Digest

An optional automated weekly summary (email or in-app) showing:

Property

Cleaning date

Expected start time

Notes or special instructions

Exception-Only Alerts

Outside the notification window, cleaners would only receive alerts for:

Same-day or next-day bookings

Cancellations

Schedule changes

Added tasks or special requirements

Why This Matters

Reduces notification fatigue for cleaners

Improves task reliability and execution

Aligns information delivery with team roles

Allows managers to retain real-time booking visibility without overloading operational staff

Outcome

Cleaner teams focus on what matters this week, managers retain full visibility, and overall operational quality improves.

Love this feedback as well. We’re aware of the signal versus noise problem on notifications and we are looking at it.

Thanks Andrew — great to hear this is on your radar.

If it helps move things forward incrementally, even simple horizon-based rules on cleaner notifications would be hugely valuable as a first step (e.g. only notify cleaners about jobs within the next X days, unless it’s a cancellation or same/next-day change).

      I’d be very happy to:

Beta test anything in this space, or

Help validate what a minimum viable version of this could look like from a real operator/cleaner workflow.

Reducing signal noise for cleaners while keeping managers fully informed would have an outsized impact on reliability and missed tasks, so even a lightweight implementation would be a big win.

One related point on team communications and calendars that might be worth considering:

Emailing .iCal attachments to cleaners isn’t particularly effective in practice. Once an event is imported into a calendar app, it persists even if the booking is later cancelled or changed, which creates confusion and stale jobs sitting in a cleaner’s calendar.

What’s far more useful operationally is a live, connected calendar feed that cleaners can subscribe to (read-only), without needing a Hospitable account. That way:

Changes, cancellations, and new bookings automatically sync

There are no orphaned or outdated events

Cleaners can rely on one source of truth in their existing calendar app

Combined with channel-specific notifications (short SMS + richer email), this would significantly reduce confusion and manual follow-ups while keeping cleaners aligned with real-time schedules.

Happy to expand on real-world workflows here if helpful.
